Full description

To effectively respond to an emergency incident, you must maximise your knowledge of the situation and minimise the time it takes to respond to it.

Using real-time data, this emergency response management platform speeds up and improves emergency responses to minimise injury and damage, while making it easier to find the cause of an emergency situation and stop a repeat occurrence.

With this solution in operation, when an incident occurs, such as a fire, this event can be instantly recorded via the mobile app in the field or centrally via a control room, which all personnel are linked to.

By linking to the GPS for mobile phone data and IoT data from connected vehicles, the manager in charge of the emergency has sight of where all personnel and vehicles are in relation to the emergency. Where personnel are close to the centre of an emergency, the manager can map out an evacuation path to lead them to safety.

To give them a better understanding of the situation, emergency managers can receive images and videos directly from the field within seconds. Both the management and the responders teams can be focused on handling the event without wasting time communicating all the relevant information to all the relevant people using multiple communication channels, such as phone calls, WhatsApp, SMS, etc.

Once the nature of the emergency is specified, this solution immediately notifies the relevant teams through SMS and push notifications and it offers bi-directional communication between the control room and the operator.

The management team can then begin analysing and tracking the situation through their emergency control room and via the mobile app. The management team also has instant access to real-time relevant information, such as the event log, involvement of hazardous materials and reports. The incident controller can update the manager status log and assign tasks to individuals. Once these actions are received those tasked with dealing with them can report back in real-time via the app. Should the event escalate, the manager can instantly change the event level and the tool notifies and dispatches the relevant teams.

Once the event has been effectively dealt with, this solution will create a detailed report that can be used for learning, debriefing and documentation, to help identify the cause and stop a similar situation occurring in the future. It provides full transparency and access at the enterprise level anytime from anywhere. It minimises response times, eliminates information gaps and conflicting information, maximises control and aids health and safety learning.

The challenge

When an emergency situation occurs, it is necessary to quickly gather all known information about the incident. Typically, emergency response teams follow a list of company regulations that are designed for responding to emergencies. They then log their emergency response activity as per company procedures. This traditional method is problematic, because no emergency is the same and responses need to be dynamic, rather than in line with a company template.

This traditional approach relies on a constant stream of phone calls, texts and emails and a mix of people sitting around a control room table trying to coordinate a response. It rarely collects real-time data or photos or videos from the field, which helps to give a more accurate picture of events. These traditional methods quickly become out of touch with events as they unfold.

With multiple teams and dangerous hazards involved, emergencies can often cause confusion, because each team has different goals. The field and medical teams are racing to end the emergency; the HR team is trying to locate and assist individual employees and contractors; while external relations may have to speak to the local authority about possible environmental damage or to co-ordinate medical treatment.

All of this means that there are a lot of people asking questions to whoever is in overall charge and that person or team may be dealing with information that quickly becomes out-of-date.

This emergency response management platform ensures that all stakeholders have access to all the available information in real-time. With everyone being able to see a single-view of the situation as it unfolds, emergency response times are significantly reduced and more effective decisions can be made. And, once the incident has been resolved, the data from the tool can be used to produce actionable insights that aid learning and stop such a situation reoccurring.

The system also allows operators to carry out drills based on realistic scenarios, so that personnel can practice and learn from realistic test cases and see where emergency responses can be improved.

The approach

Typically, emails, texts and phone calls fly around as soon as an emergency is reported. This leads to out-of-date information being acted upon, resulting in overall confusion.

This quick and easy-to-deploy, real-time emergency response SaaS management platform integrates with third-party data and gives all those involved in responding to a situation access to all the available information as it happens, plus the ability to provide their own updates on injuries and damage from the field and elsewhere.

These updates can be in the form of text, images, video, audio or documents and these are time-stamped as they are uploaded to the platform to provide an instant flow of events and constantly updated information. This event log is invaluable at the scene and for the subsequent debrief, where valuable lessons can be drawn from the incident to stop it happening again.

When the system is initially deployed, the organisation creates a bespoke decision tree that assigns tasks and triggers escalators. These decisions can be created based on the type or cause of the emergency or according to company rules or plant location. Depending on the set up, the system will automatically trigger different procedures and notifications.
